      Redmond Derby Days is a summer festival rooted in the spirit of competition that celebrates the uniqueness of Redmond through parades, races, contests, game booths, carnival rides, arts, music, food and much more! It all started in 1940 as a bike derby and parade for the community to raise money for holiday decorations and athletic equipment. Today, Derby Days celebrates the spirit of friendly competition and offers all of Redmond an opportunity to enjoy a fun, summer festival.

       

      Booth Timeline

      • May 7, 2023 - Early applications due for review.
        • Please note, you will not receive a response to your application until May 17, 2023, if you apply before or on May 7. Please email us at events@redmond.gov to if questions come up or if you’d like earlier confirmation that your application was received.
      • May 17, 2023 - Acceptance notifications and payment instructions sent by email.
      • June 4, 2023 - Final application deadline.
        • Please note, you will not receive a response to your application until June 16, 2023, if you apply after May 7. Please email us at events@redmond.gov to if questions come up or if you’d like earlier confirmation that your application was received.
      • June 16, 2023 - Final acceptance notifications and payment instructions sent by email.

       

      All Costs

      • Required
        1. Booth Fee (10ft x 10ft space)
          • $350 – commercial organizations 
          • $150 – non-profit organizations
      • Optional
        1. $75 – Electricity Access - includes 1 outlet, additional fees will apply for additional capacity
        2. $250 – Equipment rental package - includes one (1) 10’x10’ tent, walls, tent weights, two (2) chairs, and one (1) table.


      Selection Process

      Every year we receive more applications than we have space available. Therefore, the Derby Days Committee will review all applications and choose businesses and organizations who most closely align with the event's purpose, goals, and theme, and who offer an engaging experience for festival attendees while promoting their service, product, or business.

       

      Selection Criteria

      • All applications will be evaluated and juried.
      • The Derby Days Committee is committed to providing a booth area that is engaging, purposeful, and fun for people of all ages, and avoiding a commercialized or trade show vibe.
      • Engagement: Each booth will provide an approved activity or game that attracts and engages with attendees.
      • Other criteria considered: Location of business (Redmond business vs. non Redmond business), balance of profit vs. non-profit booths, variety and uniqueness, submission date, experience and reputation, booth appearance, and past history and visibility. 
      • Juried decisions are final.
      • Please note: Past participation with other City of Redmond events does not guarantee acceptance. The Derby Days Committee reserves the right to refuse any application or withdraw acceptance, in which case fee will be refunded in full.
      • Incomplete applications will not be accepted or processed.
      • Booth sharing is strictly prohibited. Only one organization is allowed per booth.

       

      Security

      Booth structure and contents, including all items, are the sole responsibility of the organization who applied and were approved to host the booth. Limited on-site security is provided Friday, July 14, from 8 p.m. to 7 a.m. on Saturday, July 15. Please do not leave valuables unattended in your booth area at any time. The City of Redmond does not assume responsibility for injury to persons, loss or damage to any property of participants, including theft, accidents, or acts of God.

       

      Booth Equipment & Power Requirements

      • Organizations must stay within the booth space, including side awnings, walkways, etc.
      • Organizations who choose to provide their own tent must also provide means to weight the tent down and will be subject to inspection for safety.
      • Each organization must attach at least 20 lbs of weight firmly to each tent leg. See “Tent anchoring requirements” section below for more details.
      • Any proposed changes to the Application’s rental equipment and/or power information must be provided to Event Coordinator (events@redmond.gov) in writing by June 21, 2023.

       

      Certificate of Insurance

      The VENDOR (who is the organization hosting the activity booth) shall procure and maintain for the duration of the Derby Days Festival (including set up and breakdown) insurance against claims for injuries to persons or damage to property which may arise from or in connection with the performance of the work hereunder by the VENDOR, their agents, representatives, employees or subcontractors. VENDOR’S maintenance of insurance as required by the agreement shall not be construed to limit the liability of the VENDOR to the coverage provided by such insurance, or otherwise limit the CITY OF REDMOND’s recourse to any remedy available at law or in equity. Any payment of deductible or self-insured retention shall be the sole responsibility of the VENDOR. The VENDOR shall provide a Certificate of Insurance and additional insured endorsement page(s) evidencing Commercial General Liability insurance written on an ISO occurrence basis form CG 00 01 and shall cover liability arising from premises, operations, property damage, independent contractors and personal injury and advertising injury, with limits no less than $1,000,000 combined single limit per occurrence and $2,000,000 aggregate. THE CITY OF REDMOND, its officers, volunteers and agents shall be named as an additional insured on the insurance policy, as respects actions performed by or on behalf of the VENDOR and a copy of the endorsement naming the CITY OF REDMOND as additional insured shall be attached to the original Certificate of Insurance and provided to Event Coordinator no later than June 30, 2023. The CITY OF REDMOND reserves the right to request certified copies of any required insurance policies. The VENDOR’S insurance shall contain a clause stating that coverage shall apply separately to each insured against whom claim is made or suit is brought, except with respects to the limits of the insurer’s liability. The VENDOR’S insurance shall be primary insurance with respect to the CITY OF REDMOND and both shall be given thirty (30) days prior written notice of any cancellation, suspension or material change in coverage.

      Non-compliance may result in denial of participation in future events.

       

      Health and Fire

      • Booths are responsible for a clean booth area that is free of debris, for providing a trash can for inside the booth, and for disposing of all garbage and recyclables as directed by the Festival. If booth area is not left clean at the end of the Festival, the organization hosting the booth will be charged a $50 booth clean-up fee.
      • Each booth at Derby Days must attach at least 20 lbs of weight firmly to each tent leg. See “Tent Anchoring Requirements” section below for more details.

       

      Hours of Operation

      • Required festival hours for activity booths are from 10 a.m. to 9 p.m. on Saturday, July 15, 2023.
        • Booths may select to also be open from 4 p.m. to 9 p.m. on Friday, July 14, 2023 for no additional cost. Please indicate on your application if you will be open during these times.
      • All booths are expected to remain open this entire time. Booths who break down early risk their participation in future events with the City of Redmond.

       

      Check-in, Set-up, and Breakdown Instructions

      • If your application is approved, you will receive instructions for check-in, set-up, and breakdown on or before Friday, June 16, 2023 with the response to your application.
        • If you applied on or before May 7, you will receive a response to your application on or before May 17. If your application is approved, please expect to receive check-in, set-up, and breakdown instructions on June 16, 2023 after all application notifications have been sent.  
      • Please note, City staff and equipment will not be available to assist with load-in and load-out of your supplies. All booths must plan to move, set-up, and clean-up all supplies and equipment for your booth.

       

      Refunds:

      A full refund, minus a $10 processing fee will be granted for requests made in writing to Event Coordinator (events@redmond.gov) 30 days before the start of the festival. No refund will be given for less than 30 days.
